How to send professional invoices automatically
- 01
Stop using WhatsApp for invoices
WhatsApp invoices look unprofessional and are impossible to track. Moving to a dedicated tool, even a free one, changes how clients perceive you.
- 02
Pick a free invoicing tool
Wave, Zoho Invoice’s free tier, or Invoice Ninja are all solid starting points for SA small businesses. All support ZAR and PayFast/EFT.
- 03
Set up your invoice template
Add your logo, business name, bank details or payment link, and payment terms (e.g. “Payment due within 7 days”). Save it as your default.
- 04
Turn on automatic reminders
Set your tool to send a reminder 3 days before the due date and on the day it’s due. This alone eliminates most late payments.
- 05
Add a payment link
Connect PayFast or Yoco so clients can pay directly from the invoice by card. The easier you make it to pay, the faster you get paid.
